Job Description Summary

As a member of the MUSC Foundation team, the Executive Coordinator provides high-level administrative and operational support to the Vice President for Institutional Advancement (VPIA) and a senior executive leader within the Institutional Advancement team at the Medical University of South Carolina (MUSC). This role is essential to ensuring their effectiveness in advancing MUSC’s philanthropic mission, both internally and externally.
The Executive Coordinator plays a central role in the daily operations of the Institutional Advancement leadership office—managing dynamic calendars of meetings and events, coordinating complex travel logistics, preparing timely and accurate briefing materials, and ensuring donor interactions are documented in Raiser’s Edge. This position requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. A high level of discretion, professionalism, and responsiveness is critical to success in this role, which plays a vital part in supporting the overall mission of the MUSC Foundation.

Job Description

As a member of the MUSC Foundation team, the Executive Coordinator provides high-level administrative and operational support to the Vice President for Institutional Advancement (VPIA) and a senior executive leader within the Institutional Advancement team at the Medical University of South Carolina (MUSC). This role is essential to ensuring their effectiveness in advancing MUSC’s philanthropic mission, both internally and externally.

The Executive Coordinator plays a central role in the daily operations of the Institutional Advancement leadership office—managing dynamic calendars of meetings and events, coordinating complex travel logistics, preparing timely and accurate briefing materials, and ensuring donor interactions are documented in Raiser’s Edge. This position requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. A high level of discretion, professionalism, and responsiveness is critical to success in this role, which plays a vital part in supporting the overall mission of the MUSC Foundation.

Key Responsibilities:

30% - Calendar, Meeting, and Administrative Oversight

  • Manage calendars, meeting logistics, and travel arrangements for the VPIA and the senior executive leader.
  • Ensure the VPIA and the senior executive leader are thoroughly prepared for meetings with relevant background, briefing materials, and follow-up documents.
  • Anticipate scheduling conflicts and reprioritize as needed in alignment with institutional and philanthropic priorities.
  • Maintain strict confidentiality and professionalism in managing sensitive information and high-level relationships.

30% - Cross-Functional Collaboration and Project Management

  • Coordinate with departments such as Special Events, Communications, Stewardship, Advancement Services, and Finance to align support for advancement priorities.
  • Liaise with Foundation staff and university stakeholders to gather background materials, bios, reports, and strategic talking points.
  • Track deliverables and timelines across projects; monitor progress and facilitate status updates as needed.

25% - Communication and Reporting

  • Draft, edit, and review internal and external correspondence on behalf of the VPIA and the senior executive leader.
  • Collaborate with data and analytics staff to support reporting needs and provide insight for ongoing refinement of engagement strategies.
  • Ensure messaging and documentation reflect the tone, voice, and strategic direction of the Institutional Advancement leadership.

15% - Donor Engagement Documentation

  • Enter and update donor interactions, strategies, and next steps in Raiser’s Edge on behalf of the VPIA.
  • Organize and track donor activity, engagement milestones, and follow-ups to ensure timely and consistent stewardship.

Qualifications:

  • Minimum of 5 years of experience in institutional advancement, operations, or a related field.
  • At least 3 years of experience supporting a senior executive and supervising administrative or support staff.
  • Bachelor’s degree required; master’s degree in nonprofit management, business administration, public affairs, or a related field preferred.
  • Proven success in managing complex projects and coordinating cross-functional teams.
  • Exceptional organizational and time management skills with a high level of attention to detail.
  • Demonstrated ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced, high-performance environment.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong strategic thinking, sound judgment, and a high degree of discretion and integrity
  • Familiarity with donor databases (e.g., Raiser’s Edge) and experience with executive-level communications strongly preferred.
