Job Description
Under limited supervision, The Program Coordinator II supports University Procurement by coordinating and administering the full contract lifecycle process for the University. This role is responsible for ensuring that contracts are efficiently routed, reviewed, executed, and tracked in accordance with MUSC policies, the South Carolina Consolidated Procurement Code, and other applicable regulations. The position plays a critical role in maintaining the integrity and accuracy of contract records within the contract management system while facilitating timely progression of agreements from initiation through final execution.
Program Coordinator II serves as a key liaison between Procurement, the Office of General Counsel, internal stakeholders, and external suppliers. The position ensures effective communication across all parties, helps resolve issues that may delay contract processing, and provides guidance to departments on contract submission requirements and procedures. In addition to coordination activities, the role supports process improvement initiatives, assists with the implementation and use of contract management systems and tools, and contributes to reporting and data analysis efforts that enhance operational visibility and efficiency across contracting functions.
Key Responsibilities:
35% Manage the contract intake and administration process, including initiating and maintaining contract records within the contract management system. Coordinate contract review and redlining with Legal and external suppliers, maintaining system updates and facilitating resolution until final approval. This includes preparing contracts for execution by ensuring correct formatting, required approvals, and submission for electronic signature. F
30% Assist Contract Manager in analyzing, developing, and implementing process improvements. Assist in creating standardized training materials to assist using departments to effectively administer contracts after execution.
20% Maintain database, dashboards and provide updates and reports on current contracts in process.
10% Facilitate communication among team members, including Legal, Information Solutions, Finance, using departments, and external partners.
5% Perform other duties as assigned
Additional Job Description
Minimum Requirements: A Bachelor's degree and two years relevant program experience. Will also consider a High School Diploma with 6 years of experience or an Associate’s Degree with 4 years of experience.
Preferred Knowledge/Skills:
Experience working with contract documentation, systems, or workflows.
Strong organizational, analytical, and problem-solving skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office, Artificial Intelligence tools, and familiarity with contract management systems.
