Under the direct supervision of the Administrative Coordinator II for the Department of Biomedical & Community Health Sciences, this individual will independently plan, coordinate, and maintain the daily operations of the Division of Basic Science Research, working with the assigned Grants Manager, Grants Administrator I, and Administrative Coordinator II. Job Description
25%: Independently make purchases and payments, including deciding where to purchase, what quantity to purchase, and what fund source to use while following all Department, College, and University policies and procedures in processing. Works closely with the Department Chair to assist in all purchases for the Department including supplies, scrubs, parking passes, memberships, reimbursements, equipment, etc.
20%: Coordinates all travel arrangements, payments, and reimbursements for all Department faculty, staff, residents, and visiting lecturers, ensuring the appropriate funding source is used, using appropriate procurement protocols, policies, and systems. Also ensures all approval forms are completed prior to travel.
15%: Provides back-up coverage to the Administrative Coordinator II on the following functions:
Independently plan, coordinate and maintain daily operations of the Department working closely with both the Chair and Department Grants Manager. This includes but is not limited to supporting the faculty in all their roles as clinicians, instructors, researchers and administrators. Also informs faculty, staff, and residents of Departmental, College, and University Policy and Procedures.
10%: Provides back up to the Administrative Coordinator II for meeting and event coordination obligations.
10%: Provides primary administrative support to the clinical divisions in the department (Division of Emergency Services and Endodontics and Division of Diagnostic Services).
10%: Supports Administrative Coordinator II in managing the inventory for the Department. Facilitates major equipment purchases with department's Grants Manager and Administrative Coordinator II. Responsible for oversight of shipping, tracking and receiving all orders for the Department.
5%: For hourly employees in the Department, manage the OurDay Timekeeping System.
5%: Other duties as assigned.
