Job Description Summary

The Operations Manager provides operational support to the Executive Director of Operations of the Medical University of South Carolina (MUSC) in Orangeburg. This role is crucial in enhancing the efficiency and effectiveness of various functional areas under the Executive Director of Operation's purview. The Operations Manager assumes oversight of the asset process management (Beds, stretchers, cribs & wheelchairs), linen services; support offsite facilities (i.e. FSED) and other departments as assigned.

The Operations Manager oversees special projects and programs, drives process improvements, and facilitates cross-departmental collaboration to achieve organizational goals. This position requires a strategic thinker with strong operational skills and the ability to work with a diverse range of stakeholders. The Care Team Member is responsible for creating action plans, SBARs, business proposals and presentations to identify opportunities of improvement.

Job Duties

Operational Support and Coordination (25%):

  • Collaborate with the Executive Director of Operations to streamline operations across various functional areas.
  • Serve as a liaison between the Executive Director of Operations and department leaders to ensure alignment with strategic objectives.
  • Monitor and assess the performance of functional areas, providing insights and recommendations for improvement.

Special Projects and Process Improvement (25%):

  • Lead and manage high-priority projects as assigned by the Executive Director of Operations, focusing on improving operational efficiency and effectiveness.
  • Develop and implement strategies to address operational challenges and enhance performance.
  • Engage with stakeholders to drive project success and facilitate process improvements

Patient Throughput and Service Optimization (25%):

  • Analyze and enhance patient throughput processes in collaboration with various departments and external stakeholders.
  • Identify and address barriers to efficient patient flow, ensuring a seamless experience for patients and staff.

Stakeholder Engagement and Communication (10%):

  • Build and maintain strong relationships with key stakeholders across the organization, including senior leadership, department heads, and external partners.
  • Facilitate effective communication between the Executive Director of Operations and various departments, ensuring timely resolution of issues and alignment of goals.
  • Coordinate and lead meetings, working groups, and committees to address strategic priorities and operational challenges.
  • Represent the Executive Director of Operations in interactions with internal and external stakeholders, ensuring a clear understanding of the Executive Director of Operation's vision and directives.

Administrative and Reporting Duties (10%):

  • Prepare and present reports on operational performance, project status, and other key metrics to the Executive Director of Operations.
  • Assist in the development of operational strategies and plans based on data-driven insights.
  • Provide additional preceptorship support to Executive Director of Operation’s interns/administrative fellows

Financial Responsibilities (5%):

  • Oversees and monitors performance of Executive Director of Operations cost center and provides variance explanation as needed.
  • Monitor financial performance and identify opportunities for cost savings and efficiency improvement for the asset process management, linen services and other departments as assigned.
  • Prepare financial reports and analysis as requested

Degree of Supervision

Indirect supervision must possess knowledge and ability to meet deadlines and handle most types of requests without supervision.

Physical Requirements

Continuous requirements are to perform job functions while standing, walking and sitting. Ability to bend at the waist, kneel, climb stairs, reach in all directions, fully use both hands and legs, possess good finger dexterity, perform repetitive motions with hands/wrists/elbows and shoulders, reach in all directions. Maintain 20/40 vision corrected, see and recognize objects close at hand and at a distance, work in a latex safe environment and work indoors.  Frequently lift and/or carry objects weighing 20 lbs. (+/-) unassisted. Lift from 36” to overhead 15 lbs.   Infrequently work in dusty areas and confined/cramped spaces.

Additional Job Description

Required Minimum Education and Work Experience:

Education:

  • Bachelor’s degree in healthcare administration, Business Administration, or a related field
  • Master's degree in healthcare administration (MHA) or Business Administration (MBA) preferred

Experience:

  • 3-5 years of experience in healthcare operations management or a related field, or completion of an administrative fellowship

Certifications: N/A

Additional Knowledge or Skills:

  • Proven experience in managing budgets and financial performance.
  • Excellent project management skills with the ability to lead cross-functional teams.
  • Strong analytical and problem-solving abilities, with a focus on process improvement.
  • Exceptional communication and interpersonal skills, with the ability to engage with diverse stakeholders.
  • Ability to work independently and manage multiple priorities in a dynamic environment.
