Job Description Summary

The position is administratively located in the Department of Biomedical and Community Health Sciences and will oversee coordination, design and daily functions of the educational mission of the General Practice Residency (GPR) program. The position is the lead administrative position for education and care that occurs at three clinic sites in Florence, Marion and Lake City. The position is located on the Florence campus of MUSC Health with additional planned satellite clinical sites in Marion and Lake City. The Program Coordinator provides direction, leadership, and day-to-day management of educational and administrative activities in support of the Residency Program Director for the residency program. The position also provides educational coordination between attending faculty, residents, staff, institutional and regulatory administrative offices. The Program Coordinator must demonstrate initiative, resourcefulness, and problem-solving skills in applying a detailed knowledge of the residency program. The position must be able to independently prioritize work, establish procedures and systems, and ensure orderly and timely administrative workflow.

Job Description

25% - Oversees OurDay Functions for Residency Program: Completes expense reports to facilitate educational expenses, registration and travel expenses; manages reimbursement requests for residents and Program Director; submits clinical supply orders. As P Card holder, follows all University purchasing policies as well as the MUSC Purchasing Card Manual. This position must keep up to date on all expense reimbursement features in OurDay. Manages time and attendance functions for the Program Director; Attend meetings as requested/required by the college, university, and health system.

20%- Regulatory Operations of the GPR Program: Supports the Program Director with crafting, compiling and submitting reports to the Graduate Medical Education (GME) office, ACGME, CODA, and other professional organizations as required. Maintain program records including but not limited to personnel files on each resident; maintain leave records, call schedule and evaluations. Supports the Program Director with preparation of all ACGME site visits, itineraries and site visit manual preparation as needed.

20%- Screening, Recruiting and Facilitating Interviews of GPR Applicants: Supports the Program Director with providing direction and management of the residency recruitment process, which includes but not limited to:  facilitating the "matching" process; corresponding with potential residents; arranging itineraries for resident applicants, notifying applicants of status.

10% - Onboarding of New Residents & Management of Resident’s Clinical Schedules: Oversees the on-boarding process for new residents including but not limited to orientation for the University and Health System, completion of required new hire paperwork.  Manage course enrollment for residents. Manage the on-call schedule and rotation schedules for GPR residents, across the three clinic sites and the operating room in the Florence hospital.

10%- Provides all administrative support to GPR Program Director: Assists faculty leadership with continuing medical education support needs, coordinates grand rounds, and coordinates other educational activities as needed; manages alumni records.

5% - Collaborative Practice/Learning: Coordinates interprofessional training opportunities between the GPR program and other residency programs at MUSC Health such as family medicine and internal medicine, as well as other dental specialty residency programs in the College of Dental Medicine. 

5% - Outreach and Marketing Coordination: Serves as the program’s primary contact for website, social media and promotional materials for the program.

5%- Other Duties as Needed: Perform additional duties as required by the GPR Program Director.
