Job Description Summary

This position will function as the Outreach & Telehealth Coordinator for the Community Outreach Program-Esperanza (COPE). The candidate will provide individual phone evaluation of all therapy patients seen through the COPE program to assess presenting symptoms, crime and trauma history, and other stressors or case management needs. The candidate will provide ongoing coordination of services for victims of crime or other traumatic experiences seen for services in the outreach clinic, including school-based services. This position includes comprehensive needs assessments, clinical case coordination, community-based services, coordination of services with schools and local agencies serving victims of crime/trauma, coordination of loaner equipment for telehealth services and test calls for telehealth patients, coordination of community tabling events, program evaluation, and other administrative duties.

This candidate will assist with other outreach tasks, including coordination of volunteers, driving clients to clinical appointments using state vehicles, and attending school related and community meetings, as a representative of the COPE program.

Job Description

FLSA: Hourly

Job Duties:

  • 25% - Serve as the Outreach & Telehealth Coordinator for the NCVRTC COPE clinic. Provide individual, comprehensive needs assessments and phone screen assessments for all referrals to COPE to assess presenting symptoms, crime and trauma history, basic needs, and victim related needs. Serves as backup support for office-based clinic and specialty programs, as needed.
  • 20% - Coordinate with community partners (including identified schools) and provide community referrals for victims of crime or trauma referred to the COPE program, including attending local staffings at schools or multidisciplinary team meetings in community.
  • 10% - Maintains tracking and oversight of telehealth equipment used in the COPE program, including set up of iPads and hotspots, mailing or delivery of equipment to families/schools, and test calls for telehealth patients. Assists with obtaining virtual consent paperwork for telehealth patients through telehealth platforms.
  • 10% - Provides ongoing case coordination of services for victims of crime and trauma. This will include scheduling appointments with other providers, making reminder calls for appointments, coordination with schools, attending MTSS or referral meetings at schools, coordination of services with other outside agencies (e.g. law enforcement, victims’ advocates, the judicial system, social service, medical providers), scheduling and facilitating appointments with psychiatrist, and providing intensive case management services to COPE cases. Assist with transportation for patients using state fleet vehicles and assist with watching minor children during appointments in NCVRTC waiting room or family homes, as needed, to facilitate clinical services. Assist Clinic Coordinator with volunteer coordination.
  • 10% - Monitors and submits mileage for state fleet vehicles assigned to this division. Manages tasks related to vehicles, including ensuring maintenance appointments are conducted, submitting gas pin requests to MUSC Transportation, and training new staff/trainees on vehicle procedures. Maintain the vehicle mileage database used for grant tracking and prepare monthly logs to be signed by staff. Ensure vehicles are clean and organized and arrange ongoing maintenance and cleaning, as necessary.
  • 10% - Assists with training and orientation for COPE psychology interns, including preparation of materials, training of procedures and protocols during bi-annual rotation switches, creation of tracking databases for trainees, scheduling appointments in EMR system, and assignment of cases staffed with supervisor.
  • 5% - Facilitates Monthly COPE Staffings internally to include all trainees and outreach clinicians. Attend all COPE internal meetings. Maintains minutes from these meetings and distributes to team members.
  • 5% - Completes program tracking databases, checking for quality assurance, and evaluating program objectives for progress reports to funding sources.
  • 5% - Performs other administrative duties as assigned.


Preferred Experience & Additional Skills: Previous work with victims of crime a plus. Data collection and management skills experience helpful. Knowledge of various software programs such as SPSS, Word, WordPerfect, Excel, Access, PowerPoint a plus. Ability to communicate effectively, both orally and in writing in English required. Ability to plan and organize work activities and prioritize task completion according to schedules and goals. Ability to exercise judgment and discretion in interpreting and applying policies and procedures helpful. A strong work ethic. Occasional evening and weekend hours. Spanish proficiency (conversational and written) preferred, but not required.
