Job Description Summary

The Department of Regenerative Medicine is recruiting for a Program Assistant to work under the supervision of Dr. Russell Norris and his senior lab personnel. They will be assisting with the administration of a basic science research laboratory that focuses on connective tissue diseases, to include program development and evaluation, communications, and day-to-day program operations. The position is ideal for individuals looking to gain hands-on experience in research program coordination and requires a self-motivated, well-organized individual with excellent communication skills and a desire to contribute to a team atmosphere.

Job Description

Job Duties:

30% - Lab Administration Support

· Assist program coordinator(s) with daily program operations, including but not limited to scheduling meetings, maintaining records, tracking expenses, submitting reimbursements, and processing orders.

· Provide general administrative support, including preparing documents for meetings, drafting emails, answering phones, and reserving rooms.

30% - Patient-Scientist Program Support

· Provide day-to-day administrative support for patient-scientist programs, including communicating with participants, maintaining program calendars, preparing for visits, and assisting with event coordination.

· Assist in reviewing and evaluating program activities to ensure continuous improvement and effectiveness.

· Collect, analyze, and organize program data for reporting and tracking key outcomes. Identify program needs and challenges, providing data-driven recommendations to leadership for improvement.

30% - Communication and Outreach

· Serve as an initial point of contact for inquiries, directing questions to the appropriate staff member as needed.

· Assist with external communications, including advocacy efforts, community engagement, and donor relations.

· Assist in the creation of outreach materials and public dissemination of lab activities, including newsletters and announcements.

· Assist with the initial preparation of reports, including donor updates, grant applications, and project summaries.

10% - Research Support

· Assist with data entry and organization of program records

· Perform general lab maintenance tasks as needed in support of the research program

· Assist with basic science research projects and act as study personnel on clinical research projects

Preferred Qualifications:

· Relevant experience in health communication or grant writing

· Strong organizational skills and attention to detail.

· Basic proficiency with Microsoft Office Suite (Word, Excel, Outlook) and a willingness to learn new software tools.

· Effective written and verbal communication skills.

· Ability to prioritize tasks, follow directions, and meet deadlines.

· Team-oriented mindset with a proactive and positive attitude.

Additional Job Description

Minimum Requirements: A high school diploma and two years relevant program experience. A bachelor's degree may be substituted for the required program experience.
