Job Description
Job Summary:
The Program Coordinator provides support to the Space Management Office within the Facilities Engineering and Construction Group. Under limited supervision aids in space management and conducts space surveys associated with MUSC, MUHA, and related entities. This position requires the ability to learn and effectively use our AiM software, as well as quickly adapt to new software systems. The role also involves using AutoCAD and AiMCAD to track space and generate reports.
This position also is the coordinator of space inventory and analysis. Responsible for operational activities associated with the MUSC, MUHA and related-entities space (building and room, square footage and room use) inventory. Discretion and exercise of good judgment are critical.
Employee must be a self-motivated and independent individual capable of working with limited supervision. The employee will be required to set priorities in a fast-paced environment that frequently requires balancing immediate and long-term projects, tasks, and goals.
Job Responsibilities:
25%- Maintains the room and building data files for all the MUSC, MUHA, MUSCP, and other affiliates of MUSC throughout the State of SC. Uses both regular surveys of space by building or departments and ad hoc reviews to maintain familiarity with space use and updates. Can generate routine reports of data as necessary. Responsible for accuracy of data. Ensures a well-organized, efficient and accurate collection process of data.
25% - Prepares, organizes, and presents graphic and/or data analysis reports on space allocation and utilization for internal (Colleges, Hospital, Central Administration) as well as external (CHE, Medicare reimbursement, NSF, Joint Commission, etc.) reporting groups.
25% -Critically assesses space data prior to, during, and after site visits. Notes and questions anomalies or data that appears unusual. Provides reports and analysis on key or significant space changes both procedurally and on demand.
10% - Assists with maintaining the floor plan’s SharePoint. Assists in the accuracy of as-built drawings through site verification visits and communication with your supervisor and/or Draftsperson.
10% - Occasional travel required to provide services to off-campus locations.
5% - Assists with other duties as assigned.
Requirements
Bachelor’s degree or equivalent experience. 2-4 years of relevant work experience. Proficiency in Excel is required. Prior experience with AutoCAD, AiMCAD, and space management is preferred.
