Position Summary:

The Band 7 Program Manager I serves as a PhD Program Manager for the College of Graduate Studies and will be responsible for organizing and facilitating faculty mentor training sessions, managing the program lifecycles and outcomes for the CGS training grant portfolio, and coordinating seminar schedules and all other academic support for the MCBP, BMB, CMP/PCOL, and M&I PhD program tracks in the MUSC College of Graduate Studies. Current student support scope of approximately 75 graduate students and up to 30 trainees.

This position may be eligible for hybrid remote work after an orientation period.

This role requires strong organizational, communication, and awareness skills to effectively manage and support various initiatives.

Duties:

35% PhD Program Management

Provides first-line academic/administrative support services to students in graduate tracks under this position's scope.  Reviews and recommends policy updates for graduate programs as a whole and on an individual basis.  Provides program support to faculty program directors of each of the 4 graduate tracks.

Works closely with students and their mentors to ensure student milestones are being met, maintains records, assists Director in mentoring students and organizing new initiatives.

Manages all seminars and special events that fall under the graduate tracks assigned within the scope of this position which includes vetting speaker candidates and developing draft seminar agendas each academic semester.  Recruits and facilitates external speakers to include compensation management for honorariums both international and domestic. Reviews and recommends policy updates for graduate programs as a whole and on an individual basis. 

25% CGS Graduate Special Program support

Supports College of Graduate Studies training grants portfolio from an administrative perspective. 

Coordinates online applications, interviews, and acceptances. Coordinates meetings with advisory boards and external evaluators. Maintains records and prepares progress reports. Conducts formative and summative evaluations for all programs and assists in curriculum development. Tracks outcomes and reports on data analytics for the programs.

Works closely with students to ensure a productive peer community. Organizes and coordinates educational programs and social events for the participants of the programs to maintain comradery.

Tracks and analyzes trainee outcomes to aid in leadership’s decision making and makes recommendations to leadership for programmatic improvements.

Handles NIH transactions and contacts trainees for needed information and documents. Maintains trainee and activity records needed for progress reports and renewals. Establishes timelines for important milestones and assists with the writing of supporting documents.

Serves as the College representative and leads students in the attendance of annual conferences.

20% PhD Admissions Process

Collaboratively oversees the admissions process with peer Program Manager who also supports the PhD program. Responsible for scheduling interviews with prospective applicants, organizing applications for admissions review, and preparing admissions packets, including letters of acceptance and offer forms. Maintains database of applications and admissions decisions. Ensures the website is up to date and facilitates appropriate changes.

Expected to track and forecast programmatic student enrollment.

10% PhD Instructional Design Support

Works collaboratively with the College of Graduate Studies’ team to review and evaluate the college's educational offerings and organize CGS-based curriculum courses. The purpose is to identify gaps in the curriculum and develop innovative solutions. This will contribute to the CGS goals of expanding training programs and developing new programs.

Provides recommendations and administrative support needed for new academic program proposals and enrollment increases for current programs; conducts market analyses and curriculum reviews.

5% Faculty Mentorship Training

Coordinates the mentorship training program as needed, or twice per year, based on CIMER (Center for Improvement of Mentored Experience) guidelines. This includes reviewing guidelines and making recommendations for course adjustments, assisting in designing tools to track outcomes and making recommendations for annual improvements.
