Job Description Summary

At MUSC Health, we are dedicated to providing exceptional healthcare services to our community. We are currently seeking a highly organized and efficient Executive Assistant III to join our Charleston Division leadership team.

This position will report directly to the Chief Operating Officer (COO) for the Charleston Division and will also provide administrative support to the Executive Director of Operations for the Charleston Division. The Executive Assistant III plays a crucial role in ensuring the smooth functioning of executive operations, requiring an individual who thrives in a fast-paced and dynamic environment, demonstrates exceptional discretion, and delivers with accuracy and professionalism.

Job Description

· Provide high-level administrative support to the COO and Executive Director of Operations, including calendar management, scheduling, meeting organization, and correspondence handling.

· Support financial and operational processes through invoice processing, p-card management, and WorkDay submissions/changes.

· Coordinate and prioritize daily tasks and responsibilities to ensure efficient use of time and resources.

· Manage and maintain confidential information, including sensitive financial and personnel records.

· Serve as a liaison between executive leadership and other departments, ensuring clear, timely, and professional communication.

· Prepare and distribute reports, presentations, and other materials as needed.

· Manage travel arrangements, including booking, itineraries, reimbursements, and expense reporting.

· Assist with special projects, events, and strategic initiatives led by Charleston Division leadership.

· Conduct research, compile data, and develop summaries to assist with decision-making.

· Monitor progress on projects, track deliverables, and provide proactive follow-up.

· Continuously seek opportunities to improve processes, enhance efficiency, and strengthen administrative systems.

· Represent the organization and leadership team with professionalism, confidentiality, and positivity at all times.

· Special event planning, management or support as needed.

· Other duties as assigned by the COO or Executive Director of Operations.

Minimum Requirements:

Education:

Bachelor's degree in Business Administration, Healthcare Management, or a related field required.

Minimum of 5 years of experience as an Executive Assistant, preferably within a healthcare or complex organizational setting.

  • Proficiency with Microsoft Office Suite applications (Word, Excel, PowerPoint, Outlook, Teams) is required.
  • Ability to quickly learn and effectively use additional software platforms (e.g., Concur, Workday).
  • Strong organizational and time-management skills, with the ability to manage multiple priorities effectively.
  • Excellent verbal and written communication skills; ability to interact with stakeholders at all organizational levels.
