Job Description Summary

The External Rider and Volunteer Recruiter reports to the Associate Director of Development and Director of Development and is responsible for recruiting new riders from entities on an internal and external basis including departments, companies, civic organizations, schools, neighborhoods, bike clubs and bike shops. The External Rider and Volunteer Recruiter is also responsible for assisting with the planning and execution of the ride with focus on recruitment and coordination of community volunteers. The External Rider and Volunteer Recruiter will coordinate efforts with the rider recruitment coordinator. As rider registrations diminish during the month preceding ride weekend, the External Rider and Volunteer Recruiter shifts focus to execute ride weekend related objectives with the Associate Director of Development and the management company.

The External Rider and Volunteer Recruiter will be expected to develop relationships with prospects by working with community leaders, university representatives, and funding partners. The External Rider and Volunteer Recruiter will work closely with community partners, vendors, associates, and customers to develop pelotons. The External Rider and Volunteer Recruiter will also work closely with peloton captains to expand ride participation of existing pelotons while encouraging a “break off” mentality for the purpose of creating new pelotons. The aggregate of this strategy results in a comprehensive community wide recruiting effort.

As part of implementing the general recruitment strategy, the External Rider and Volunteer Recruiter will work closely with prospective organizations and ideally an internal “Champion” of each company/organization to ensure realization of rider registrations.

Job Duties (list job tasks)

  • Rider Recruitment:
    • Recruit new riders by capitalizing on partnerships and relationships of funding partners, community leaders, business relationships.
    • Utilize these relationships to make a leveraged brand right recruiting effort.
    • Strategic approach involves segmenting the market into individual prospects.
    • Encourage organizations to form pelotons.
    • Assist the rider recruitment coordinator with internal recruitment to include: internal departments, students, and other prospects.
    • Assist the executive director with the management of the local organizing committee.
    • Work strategically and in conjunction with the executive director on sponsorship solicitation plans and execution.
  • Rider Stewardship and Training:
    • Lead the LOWVELO Ambassador committee and encourage their participation in the community.
    • Establish “Champions” at each prospective organization.
    • Establish relationship and rider goals with organization’s Champion to ensure positive recruitment result.
    • Develop events to promote rider recruitment.
    • Develop relationships with individual riders and help identify rider profile stories.
    • Ensure every participant can successfully achieve his or her fundraising goal through training, support and encouragement. 
    • Train other ride event staff and HCC staff and volunteers in rider recruitment and education.
    • Manage the organization of bike ride team meetings.
    • Field telephone and email inquiries regarding the ride.
  • Recruitment Reporting and Infrastructure:
    • Develop and maintain comprehensive spreadsheets that track development to goal progress.
    • Document communication and progress with each relationship/organization.
    • Develop reports to track success, create and distribute weekly progress reports and strategic plans/forecasting. 
    • Navigate rider website infrastructure and programming to effectively communicate with a third-party source, to improve functionality, troubleshooting and other needs as they arise for registered riders.
  • Volunteers Recruitment and Management:  
    • Recruiting, selecting and training lead volunteers to oversee groups of volunteers during ride weekend.
    • Developing and maintaining relationships with company and community groups interested in group volunteer opportunities.
    • Coordinating and tracking volunteer registrations to ensure all event volunteer needs are met.
    • Coordinating distribution of t-shirts, food and supplies to volunteer groups along the route.
    • Monitoring lead volunteers throughout ride weekend to ensure smooth operations.
    • Work with Director of Operations and Safety leading up to the ride to ensure the ride experience is met to brand standard.
    • Develop and maintain comprehensive spreadsheets that tracks development to goal progress.
    • Document communication and progress with each relationship/organization.
    • Present recruitment appointments each Monday to leadership.
    • Report progress each Friday to leadership.

Physical Requirements

Continuous requirements are to perform job functions while standing, walking and sitting. Ability to bend at the waist, kneel, climb stairs, reach in all directions, fully use both hands and legs, possess good finger dexterity, perform repetitive motions with hands/wrists/elbows and shoulders, reach in all directions. Maintain 20/40 vision corrected, see and recognize objects close at hand and at a distance, work in a latex safe environment and work indoors.  Frequently lift and/or carry objects weighing 20 lbs (+/-) unassisted. Lift from 36” to overhead 15 lbs.  Infrequently work in dusty areas and confined/cramped spaces.

Education and Work Experience

Bachelor’s Degree with minimum of three years’ experience in fundraising or sales. Experience with peer-to-peer fundraising, a plus. Willing to work very flexible hours, including evening and weekend hours, especially during months leading up to the Ride. Ability to work independently to anticipate project needs, discern work priorities, coordinate support, solve problems and meet deadlines. Excellent communication skills, including writing, proof-reading skills, and speaking. Ability to work efficiently under pressure with careful attention to detail. Ability to manage multiple projects and work assignments at the same time. Self-starter with goal-oriented mindset. Persuasive, outgoing personality. Attention to detail and ability to follow-up on issues. Friendly and patient demeanor while providing accurate brand message. Excellent time management skills, flexibility and the ability to work independently as well as with a team. Strong verbal communication skills as well as a positive phone and face-to-face manner. Follow up skills to ensure accountability. Possesses a “close the deal mentality”. Excellent interpersonal skills and professional demeanor both in person and by phone. Sincere customer service ethic and high expectations for quality.
