Job Description Summary

The Trauma Registry Manager reports to the Acute, Critical Care, and Trauma Quality & Safety Manager. Under limited supervision, the Trauma Registry Manager is responsible for overseeing the activities of the Adult Level I trauma registry in accordance with the requirements of the American College of Surgeons (ACS) and South Carolina Department of Health and Environmental Control (DHEC). This position is also responsible for managing the data processes for the registry, including, but not limited to: report creation, data validation, and data submission.

This position can be filled remotely or onsite in Charleston, SC.

Job Description

Job Responsibilities

Manage trauma registry data & ensure registry requirements for verification are met (Weight: 75%)

Success Criteria:

  • Build reports for data requests related to research or QI
  • Data Validation & TQP data analysis
  • Manage interrater reliability (IRR) process
  • Maintain an up to date registry SOP & Data Quality Plan
  • Coordinate data submissions with IS
  • Assign and monitor workload of registrars to ensure >80% of charts are closed within 60 days of discharge
  • Maintain registry team compliance with requirements for verification (i.e. Grey Book standards)
  • Collaborate with trauma program to ensure the registry is supporting program needs

Manage day-to-day operations of the trauma registry (Weight: 15%)

Success Criteria:

  • Participate in the development and implementation of short- and long-term goals and objectives for the team
  • Develop, implement and uphold departmental & organizational policies, procedures and standards
  • Coordinate schedules and PTO/timecard approvals with QAPI Team Administrative Assistant
  • Plan and facilitate staff meetings
  • Collaborate with QSM to maintain appropriate staffing of the registry based on trauma census
  • Prepare and conduct mid-year and annual performance reviews for registrars
  • Act as a resource for the staff regarding daily operational activities

Coordinate with trauma registries across the health system to promote systemization (Weight: 10%)

Success Criteria:

  • Collaborate with QSM to determine aspects of the trauma registry workflows that should be standardized across the health system (e.g. registry software)

Act as a liaison/resource from the level I trauma center to other trauma centers within the health system to share resources that promote standardization of work, including, but not limited to: SOP, IRR procedures

Additional Job Description

Minimum Education and Work Experience Requirements:

Bachelor’s degree with 6+ years of trauma registrar experience OR high school diploma with 8+ years of trauma registrar experience.

Certified Specialist in Trauma Registry (CSTR) required within 6 months of hire.

Certified Abbreviated Injury Scale Specialist (CAISS) required within 1 year of hire.

Minimum two years of management experience or registry team lead experience required.

Experience with EPIC electronic medical record and DI-V5 preferred. Certified Coding Associate (CCA) and/or Certified Professional Coder (CPC) preferred.
