Job Description
MUSC Minimum Training and Experience Requirements:
A high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years experience in business management, public administration or administrative services.
Job Duties:
30% Facilities: Serves as the on-site facilities coordinator and primary point of contact for College of Nursing facility-related matters. Coordinates with the Facilities Engineer on building maintenance and repairs, including submitting and tracking Fixit tickets (e.g., temperature, housekeeping, pest control, electrical, plumbing, elevators) through resolution. Manages furniture and equipment distribution and surplus. Partners with hiring managers to ensure office spaces are prepared for new employees. Maintains key inventory and coordinates with the lock shop for key issuance and reassignment. Oversees mail distribution and annual asset inventory. Monitors and replenishes office supplies in shared workspaces.
30%-Office of Research: Serves as the contact person and administrative coordinator to the Associate Dean of Research. Performs administrative duties to include schedule and coordinate meetings; schedule appointments and maintain calendars; take minutes and prepare other documents for meetings as assigned; assists with preparation of Office of Research annual and other reports; answer and return phone calls; maintain filing; prepare communications, letters and other correspondence; make travel arrangements; data entry. Create, schedule and coordinate an orientation itinerary for incoming Research faculty and staff.
15% Space Committee Coordination: Coordinates the operations of the College Space Committee, including scheduling meetings, preparing agendas and supporting materials, maintaining space allocation records, facilitating communication among stakeholders, and tracking committee recommendations and action items to support effective space planning and utilization. Assists with coordinating large-scale office moves. Special Projects as assigned.
15% Dean’s Office Event Support:
Under the direction of the Lead Administrative Coordinator, manages financial and administrative operations related to Dean’s Office events, including purchasing, procurement, reimbursements, contracts, and event-related expenses. Coordinates all logistical aspects of executive-level events hosted by the Dean’s Office, including venue arrangements, catering, travel, communications, authorizations, and on-site support. Ensures all activities and expenditures comply with College of Nursing, MUSC policies, and State regulations and procedures.
5% Administrative Team:
Provides cross-coverage as part of the CON administrative coordinator team to maintain office operations during staff absences, including coverage during leave and telework.
5% Other Duties:
Performs other duties as assigned.
