Job Description

The Administrative Coordinator position provides direction, leadership, and day-to-day management for the Division of Pediatric Cardiology. Provides administrative support for the Division of Pediatric Cardiology, with a primary focus on patient/clinical related administrative activities. The position will work closely with the ambulatory clinic staff and referring providers to ensure timely and effective management of administrative needs. The coordinator serves as the liaison for the Division to both internal and external agencies along with the Division Administrator.

Job Duties:

  • 35% - Assist with 6-month clinic and on call schedules. Assist with the coordination of cancellations and changes in schedules. Manage outpatient clinic templates and clinic schedule changes.
    Maintain call and service schedules in Simon Web. Maintain and coordination of schedules in Qgenda. Triages incoming correspondence: Reads and channels to appropriate individual or department.  Confirm and record leave requests on a bi-weekly basis (serving as Division Chief delegate to approve requests in OurDay®.  Make leave updates in Qgenda.
  • 25% - Provide day-to-day office management and administrative support for the Division Chief, Service Directors and Division Administrator. Assist faculty, fellows, and advanced practice providers with scholarly obligations, meeting deadlines, travel arrangements and calendars. Schedule coordination for the Division Chief for all meetings and interviews.
  • 25% - Submit travel reimbursements, process payments for abstracts, conference registrations, and membership fees.  Coordinate and prepare division-related purchases (state funds, patient care income, grants, and donations) from a variety of funding sources according to procurement guidelines set forth by MUSC University and MUSC Physicians. Facilitate vendor setup and payments ensuring policies, procedures and guidelines are in accordance with State and MUSC Procurement regulations. Reconcile and allocate monthly purchasing card (P-Card) transactions.
    Track and ensure professional licenses and certifications are current and provide renewal updates to our clinical records system in Verge®.
  • 5% - Makes recommendations to department administrators and faculty relative to procedural improvements in office operations. Proactive in seeking solutions and improvements to the overall operations of the division. Additional duties and backup of administrative staff as assigned.
  • 5% - Manage faculty biographies and scholarly contributions in preparation for annual reviews in Interfolio®.  Provide cross coverage for the fellowship program and scheduling while utilizing working knowledge of ACGME/GME requirements.
  • 5% - Manage incoming mail and correspondence.  Maintain office supplies as requested.

Minimum Requirements: A high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years experience in business management, public administration or administrative services. The PTWP care is one of only a handful of women’s facilities in the country to offer couplet-care rooms, where newborns and mothers can recover together in an intensive-care setting.
