Job Description Summary

The Department of Neurosurgery is currently recruiting for an Administrative Coordinator I (Surgery Scheduler) who will work independently, performing a variety of complex and specialized assignments and administrative duties that requires initiative, resourcefulness, problem-solving skills, independent judgment, and a detailed knowledge of the mission, responsibilities, and structure of the division. To remain efficient in this position, the candidate will need to maintain proficiency in duties associated with the clinical, teaching, and research missions of the division.

Job Description

Job Duties:

30%: Schedules surgeries for assigned neurosurgery providers. Informs patients of their time and date of surgery along with their appropriate instructions for surgery. Responsible for receiving all posting slips that are generated by the assigned department's surgeons, residents, or administrative staff. Posts the surgeries with the correct codes to the appropriate operating room on the hospital scheduling system. Acts as a liaison for patients and their families to include surgery scheduling, correspondence regarding patient expectations, outcomes, follow up, send physical therapy referrals and secure/confirm appointments, secure/confirm post op appointment, complete follow up phone note in electronic record to document follow up.

30%: Handles any changes that have taken place after the schedule has been completed, which includes taking care of cancellations, recalling patients, finding operating rooms for add-ons and emergency cases that are received. Forwards surgery information to all appropriate areas including but not limited to Medical records, financial counseling, pre-cert, PAC, administrative staff, clinical staff. Assist physicians, and staff to coordinate surgeries with the operating room scheduler. Responsible for scheduling and tracking all denials, Peer-to-Peer requests, and any other items required to ensure optimized surgical workflow.

20%: Triages incoming correspondence: Reads and channels to appropriate individual or department. Oversee administrative and maintenance of any divisional medical records documents or activities; assure access to needed medical record documentation and help with filing patient records into Epic folders. Obtains patient medical records when requested. Ensures all patient related correspondence is identified by the patient medical record. Receives and triages calls related to patient care from a variety of sources, eg, patients, families, agencies in a professional manner. Responds to inquiries from patients and physicians in a timely manner. If the call is clinical in nature, incumbent places a message in the patient's chart in to be responded to by a nurse or physician.

15%: Maintains detailed records in which all surgery and OR related data is kept regarding past, current, and future cases, equipment needs, and operating room data for each surgeon. This information is kept current and available at all times to be reviewed by faculty and staff as needed. Contacts the appropriate faculty with any available/released time by other surgeons not operating on the day, which is offered to other faculty on a first-come, first-served basis.

5%: Other duties as assigned.

Additional Skills and Abilities: Individual must possess excellent verbal and written communication skills and be able to work independently with little supervision. Prior experience with coding, surgical case creation/scheduling, obtaining prior authorization, and OR board management/utilization. Must be proactive in the performance of duties, disseminate information with clarity, and possess exceptional problem solving skills. Knowledge of Microsoft Office Suite including Outlook, Word, PowerPoint, and Excel.

Minimum Requirements: A high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years experience in business management, public administration or administrative services.
