Job Description Summary

Serves as administrative support to the Associate Dean of Research, Chair of the Department of Advanced Specialty Sciences and the Division Chief of Applied Craniofacial Sciences. Coordinates departmental and assigned committee events, department events, meetings and conferences. Assists in research, procurement and college-wide training and initiatives.

Job Description

35%: Serves as administrative support to the Associate Dean of Research, Chair of the Department of Advanced Specialty Sciences. Coordinates departmental and assigned committee events, department events, meetings, conferences, etc. Prepares and edits correspondence, communications, presentations, and other college-supporting and logistical documents as requested. Assists with booking travel arrangements, leave requests, and processing departmental time off and travel forms. Manages the calendar of the Associate Dean and Division Chief as requested. Identifies, initiates and executes effective solutions and resolutions to the highest standards in conjunction with any departmental and college policies and procedures. Multitasks and prioritizes items in a fast-paced environment. Maintains strong, productive relationships with, and supports other members of, the executive management team (e.g. Assistant Deans, Division Chiefs, Program Directors, etc.). Fosters productive working relationships with faculty and staff.
 

30%: Works closely with Associate Dean of Research and Division Chief of Applied Craniofacial Sciences to assist in procurement for the department and research initiatives, including purchasing such as: supplies, memberships, reimbursements, equipment, service/maintenance, travel arrangements for CDM personnel, events, and account renewals. Completes and manages procurement, the department P-card, travel reimbursements and payment tracking as requested.

20%: Coordinates, organizes, and manages programs, events, and itineraries under the direction of the Associate Dean of Research. Including but not limited to: JBE CDM Scholar’s Day, Research Initiatives, Continuing Education Seminars, Invited Speakers, and College-led Professional Development.

10%: Works with the department Business Manager for all finance needs.

5%: Other relevant duties assigned.

Minimum Requirements: A high school diploma and five years relevant experience in business management, public administration or administrative services; or a bachelor's degree and three years experience in business management, public administration or administrative services.
