Under the direction of ACGME Program Directors, the coordinator will responsible to provide advanced administrative program coordination and support, and assist with general business operations associated with Educational programs.
Additional Knowledge, Skills, Ability preferred:
Candidate must have the ability to work with a diverse group of people, must be able to multi task. Experience with administration support for higher education or Academic Universities.
Proficiency in Epic, RightFax and Microsoft Office preferred
Knowledge of CPT codes, medical billing and diagnosis coding helpful
Experience in medical practice and knowledge of medical terminology is required
Job Duties:
35%: Supports Program Directors with the administration and scheduling of Neurology ACGME Fellows, and Non ACGME Fellows. Ensure that the activities of the Fellows meet the needs for training and accreditation (through the GME Office, the ACGME, and the ABPN). Serves as primary program liaison to the Graduate Medical Office for the Department of Neurology ACGME Fellowship programs, to include Vascular Neurology, Clinical Neurophysiology, and Epilepsy. Also serves as primary program liaison for NON ACGME Movement Disorders Fellowship program. Provides advanced administrative support: development, maintenance & monitoring of annual budgets, assists in preparation of monthly fellow clinical schedules, duty hour logging (at MUSC & VA sites), preparation of complex and sophisticated reports and spreadsheets, composition of correspondence & narrative sections of ACGME reports and documents. Provide budgetary reports to Executive Administrator, various attendings, and Graduate Medical Education Office.
35%: Administration, coordination, and supervision of daily operation of the Fellowship Programs, including recruitment, interviews, orientations (departmental, VA, GME, paging, EPIC, etc.), meetings, evaluations, travel, schedules (call, clinic, lecture), special events, Graduation Dinner, Welcome Reception, leave requests, license
renewal, DHEC renewal, DEA renewal & reporting. Requires knowledge of accreditation requirements & maintenance of hard and e-files. Other responsibilities include coordination of fellowship didactic lecture schedules, administering of onboarding duties for Non-ACGME Fellows in Movement Disorders, VA reporting hours for Vascular Fellows on a monthly basis, and coordination of monthly meal cards from the GME office.
25% Residency Program - Serves as secondary Residency Coordinator with the administration and scheduling of Neurology Residents to ensure that activities meet the needs for training and accreditation (through the GME Office, the ACGME, and the ABPN). Provides evaluation results, ensures evaluations have been created and linked to appropriate personnel; prints out evaluations for semi-annual and annual evaluations. Perform annual or monthly shift scheduling duties in E-value as requested by the Medicare office and provide VA duty hours on a monthly basis for the Graduate Medical Office. Coordinate resident radiation badges, direct liaison to Risk Management for radiation badges request, termination of badges, track and report lost radiation badges for residents. Supports Primary Residency Program Coordinator in tracking of Annual Residency Budget, and prepares and presents budget to actual reports monthly.
5%: Attend at least one national meeting related to ACGME Coordination coordinating every other year. Attend Residency recruitment dinners, set up recruitment schedules, facilitate candidates, coordinate ranking meetings and submit final ranking list to NRMP. Perform other duties as required under direction of Department and Education Program Leadership.
