Job Description Summary

Serves as the Department of Neurology ACGME Fellowship Program Coordinator for the Vascular Neurology, Clinical Neurophysiology, and Epilepsy Fellowship Programs and functions as the primary administrative and operational leader supporting program directors in all aspects of fellowship administration. Responsible for independently coordinating complex educational programs, ensuring ongoing compliance with ACGME, ABPN, NRMP, institutional, state, and federal requirements. Serves as the principal liaison between fellows, faculty, Graduate Medical Education, institutional leadership, and external regulatory agencies. Provides advanced program administration, operational oversight, data management, accreditation support, recruitment coordination, and budget monitoring for multiple fellowship programs. Also serves as backup coordinator for the Neurology Residency Program.

Job Title: Program Coordinator II – AH4009/GEN-09

Full Time or Part Time: Full Time


Job Purpose

 

  • Serves as the Department of Neurology ACGME Fellowship Program Coordinator for the Vascular Neurology, Clinical Neurophysiology, and Epilepsy Fellowship Programs and functions as the primary administrative and operational leader supporting program directors in all aspects of fellowship administration. Responsible for independently coordinating complex educational programs, ensuring ongoing compliance with ACGME, ABPN, NRMP, institutional, state, and federal requirements. Serves as the principal liaison between fellows, faculty, Graduate Medical Education, institutional leadership, and external regulatory agencies. Provides advanced program administration, operational oversight, data management, accreditation support, recruitment coordination, and budget monitoring for multiple fellowship programs. Also serves as backup coordinator for the Neurology Residency Program.

 

MUSC Minimum Training and Experience Requirements:

A bachelor's degree and two years relevant program experience.


Preferred Training and Experience Requirements:

 

  • A bachelors degree and three years relevant program experience. Candidate must have the ability to work with a diverse group of people, must be able to multi task. Experience with administration support for higher education or Academic Universities.

 


Additional Knowledge, skill, ability preferred:

 

  • Prior experience in Graduate Medical Education or another educational field, (i.e. teacher/educator) preferred.
  • Must have working knowledge of computer and software applications including Microsoft Office.
  • Highly organized and ability to work independently and. Excellent oral and written communication skills. Ability to collaborate effectively with individuals at all organizational levels. Strong analytic and problem-solving skills.

·         35% – Fellowship Program Administration and Accreditation Management

Serves as the primary administrative coordinator for the Department of Neurology ACGME-accredited Fellowship Programs, including Vascular Neurology, Clinical Neurophysiology, and Epilepsy. Independently manages day-to-day operations of assigned fellowship programs and serves as the primary liaison between Program Directors, fellows, faculty, Graduate Medical Education (GME), ACGME, ABPN, and affiliated training sites. Ensures continuous compliance with ACGME Common Program Requirements and specialty-specific accreditation standards through ongoing monitoring, documentation, and reporting activities. Maintains program readiness for accreditation reviews, site visits, annual program evaluations, and self-study activities. Prepares and maintains complex reports, accreditation documentation, databases, and spreadsheets. Monitors fellowship budgets and provides financial and operational reports to Program Directors, Department Leadership, and the GME Office. Assists with preparation of fellow schedules, duty hour compliance reporting, and maintenance of all required program records.

·         35% – Program Operations, Recruitment, and Fellow Support

Coordinates and oversees operational activities for multiple fellowship programs, including recruitment, application management, interview coordination, ranking processes, onboarding, orientations, evaluations, graduation requirements, and annual program activities. Serves as the primary point of contact for fellows and faculty regarding policies, procedures, deadlines, and educational requirements. Coordinates fellow licensure, credentialing, DEA registration, DHEC requirements, VA onboarding, and institutional compliance activities. Maintains confidential trainee records and ensures timely completion of evaluations, certifications, and required documentation. Coordinates Clinical Competency Committee, Program Evaluation Committee, and Annual Program Evaluation activities, including preparation of agendas, records, reports, and follow-up actions. Organizes fellowship didactic conferences, special events, recruitment dinners, graduation activities, and welcome programs. Identifies operational issues and collaborates with leadership to develop solutions and implement process improvements.

·         25% – Residency Program Support and Institutional Collaboration

Serves as secondary coordinator and cross-functional resource for the Neurology Residency Program. Provides coverage and support for residency operations, accreditation activities, scheduling, evaluations, recruitment, and compliance reporting. Assists with monitoring resident duty hours, evaluation management, annual accreditation requirements, and residency budget tracking. Coordinates resident radiation badge processes, VA reporting, and other institutional reporting requirements. Collaborates with the Vice Chair for Education, Program Directors, Chief Residents, Department Leadership, GME Office, Medicare Office, VA partners, and other institutional stakeholders to ensure effective program operations and compliance with applicable regulations and policies. Facilitates communication between faculty, trainees, and institutional offices to resolve issues in a timely and professional manner.


·        5% – Professional Development and Special Projects

Maintains expertise in graduate medical education administration through participation in departmental, institutional, regional, and national educational and professional development activities. Attends coordinator meetings and applicable educational conferences to remain current on accreditation requirements, GME best practices, and regulatory changes. Supports fellowship and residency recruitment events, including interview dinners and candidate visits. Participates in special projects, process improvement initiatives, and strategic educational initiatives as assigned. Performs other duties as required to support the educational mission of the Department of Neurology.
