Job Description Summary
Serves as a visa specialist and facilitates processing of visa sponsorship cases on behalf of the MUSC Enterprise, including the university, its six colleges, MUSC Health and the Regional Health Network. Coordinate process and procedures for all employment-based and permanent resident requests. Provide guidance and assistance to foreign national beneficiaries and MUSC departments on the rules, regulations and requirements. Serve as a Designated School Official (DSO) for F-1 students, and as an Alternate Responsible Officer (ARO) for J-1 Exchange Visitors. Manage and maintain records and reporting requirements in the Student Exchange Visitor Information System database as required by U.S. Department of Homeland Security and U.S. Department of State. Advises departments, HR personnel, and foreign national employees on employment and immigration procedures that facilitate employment across the MUSC enterprise. Develop and implement procedures to ensure institutional compliance with federal immigration regulations. Manage and maintain day-to-day operations of MUSC’s immigration case processing software system. Provide training to MUSC stakeholders to enhance compliance with immigration regulations and increase efficiency of MUSC immigration services. Other departmental duties as necessary. Job responsibility 1.1: (30%) Assists with coordinating the processing of H-1B, O-1, and TN employment-based visa and permanent residency cases. Liaise with external immigration legal counsel to facilitate processing of visa sponsorship requests. Collect and review documents and information from foreign national beneficiaries and sponsoring MUSC departments. Provide case-specific guidance and support to foreign national beneficiaries and sponsoring MUSC departments. Assist and advise the MUSC Regional Health Network on immigration processes.
Job responsibility 1.2 (30%) Coordinate processing of various F-1 student and J-1 exchange visitor requests. Collect specific guidance and support to students, scholars, and sponsoring departments. Provide case specific guidance and support to students, scholars and sponsoring MUSC departments. Serve as a Designated School Official (DSO) for F-1 students authorized by the US Department of Homeland Security and as an Alternate Responsible Officer (ARO) for J-1 exchange visitors authorized by the US Department of State. Manage and maintain records and reporting requirements in the Student Exchange Visitor Information System (SEVIS) database as required by federal regulations. Create SEVIS-based immigration documents (Form I-20, Form DS-2019) for F-1 students and J-1 exchange visitors, as needed.
Job responsibility 1.3 (20%): Manage and maintain operations of MUSC’s immigration case processing software system (TerraDotta) including enhancements, creating and updating processes, approvals, setting and access permissions, and general troubleshooting. Assist with service issues, data feed integrations, upgrades, and overall adjustments. Improve the tool for both end-user ease of use and reporting needs and provide training to MUSC stakeholders. Monitor updates to governmental forms or governmental databases that interface with MUSC software systems and implement necessary changes to ensure continuous operations.
Job responsibility 1.4 (10%): Assist with providing training, education and outreach to MUSC stakeholders, including the MUSC Regional Health Network, to enhance compliance with immigration regulations and increase efficiency of MUSC immigration services. Develop and deploy training materials, guidance documents and content updates. Prepares correspondence and communicates with federal agencies as necessary to ensure timely response and compliance with all requests, requirements, and regulations.
Job responsibility 1.5 (10%): Manage digital and physical file storage, organization and records retention, including public access file creation, maintenance, and records retention. Develop other process and workflows as needed for maximum efficiency and institutional compliance. Monitor and stay current on applicable laws, policies, regulations, and procedures regarding immigration and visa sponsorship. Serve as a point of contact for inquiries to the immigration email address. Update MUSC Global Health website and MUSC Horseshoe as needed.
