Job Description Summary
The Program Manager I is responsible for managing multiple complex components of the Division of Cardiology’s +$4M clinical trials unit. The Program Manager I is responsible for supporting the program’s processes, services, efforts, compliance, and infrastructure to ensure they continually align with the goals and vision of the Division of Cardiology and Department of Medicine. This position is responsible for overseeing billing review, study tracking and OnCore utilization, and the management of new study start-up tasks. The position requires effective communication and interaction with staff and faculty in the Division of Cardiology, Department of Medicine, and other institutional departments and research personnel, as well as external agencies. This position will perform duties with limited supervision and exercise judgement in handling a variety of management issues.Entity

Job Description
Job Duties:
35% - Study Tracking / OnCore:
Working with Department of Medicine research staff on invoicing (OnCore to automatically invoice)
Establishes new studies in OnCore and works with appropriate enterprise team members in resolving any issues related to OnCore.
Maintaining study visits and invoiceable activities in OurDay.
Oversees the flow of research projects through implementation, including first contact with the site, feasibility of the project at the site, completion of the site qualification visit, receipt of regulatory and budget packet, completion of site initiation visit, subject recruitment and study conduct and completion.
Manages quality assurance and quality improvement goals and objectives through routine audit review of the program’s portfolio.
Develops and maintains research procedures for the Programs with the goal of standardization, increased efficiency and ensuring compliance with Institutional guidelines.
30% - EPIC Billing Review for Clinical Trials:
Responsible for managing all EPIC billing review for clinical trials that fall within the Division of Cardiology. Creates best practices and procedures needed to ensure that all charges are resolved in a timely and accurate manner.
Reconcile bills once received from the hospital, reviewing to ensure that bills are accurate according to the study billing plan.
Coordinates hospital billing activities with Division/DOM Procurement Coordinator.
Provides structure and processes for study charges in EPIC to be closed timely, ensuring that the Division does not have negative revenue impacts through unclosed PB charges.
Responds to any questions or needs that arise from DOM Revenue Cycle meetings that are related to PB charges not closed.
Establishes the infrastructure to support successful achievement of the financial goals of the Division’s clinical trials and administrative functions.
Identifies and establishes necessary resources, personnel, equipment, and facilities to be utilized by the program.
Manages and responds to any needs directed by Nurse Administrator/Manager II, Division Administrator, or other Division/Department/University leadership.
15% - Office Management:
Maintain exam room supplies for Gazes/Strom Thurmond Building, ensuring that all supplies needed by PIs, patients, or other staff are available.
Submit FixIt tickets for any issues in the clinical trials team space.
Support Nurse Administrator/Manager II in efforts related to space on the first floor of the Gazes/Strom Thurmond Building.
Manage any new space requests of unit, while also managing any new desk, equipment, or other office furniture needs.
Maintains inventory and long-term storage room.
Responsible for cataloging all current inventory and managing shipment of documents for long-term storage.
15% - Project Management:
Manage special projects and/or additional assignments as needed, at the discretion of the Division Director, Division Administrator, Nurse Administrator/Manager II, or Clinical Trials Program Medical Director.
Take minutes at staff meetings, CCT Leadership Meetings, and other directives as instituted by Nurse Administrator/Manager II.
Manage new committees as directed by Nurse Administrator/Manager II.
5% - Other Duties:
Clearly and professionally communicates program matters with diverse stakeholders and communicate financial information clearly and concisely. Verbal communication skills are professional. Adapt communication style to suit different audiences, from technical finance teams to non-financial staff.
Provide timely responses to inquiries via email, meetings, and other business communication channels.
Maintain confidentiality while conveying sensitive financial information.
Prepares for and participates in any meetings with PIs, staff, or other faculty.
Other duties as assigned by Department of Medicine or Division of Cardiology Administration to support initiatives in the Department.
