CB7509: Designs, develops and administers policies and programs for assigned student services area(s).Manages and evaluates programs to include budgeting and personnel planning; trains and supervises subordinate program coordinators and students. Advises other administrators on matters relating to student services programs, policies and procedures. Establishes and reviews policy and procedures to ensure conformance with state, federal and institutional guidelines. Advises student organizations concerning program development and expenditure of funds; conducts leadership seminars for group officers. Provides counseling to students and groups on a variety of personal, social, vocational and academic problems. Plans, writes, edits, publishes and updates program information as it relates to policies, procedures and services available to students, faculty and staff. Serves as liaison between the campus and the general public, parents and alumni. Job Description
20% Applicant Communication Lead for Student Services:
Provide leadership for CHP student services in applicant and admitted student communication improvements. Develop strategic plans in collaboration with the CHP marketing team to utilize automations within the CRM to communicate critical information to applicants during the admissions cycle. In addition, develop communications to increase the engagement of admitted students during the time between when an offer is accepted to the start of their first semester of enrollment. Development of content that will be utilized college wide, as well as the creation and management of template communications that can be selected by individual programs for use as needed in various platforms. Collaborate with student services and program admissions teams to identify communication gaps and create plans to fill the identified needs, coordinate with marketing tto support implementation efforts and devise methods to track impact when possible. Review communications annually for updates and edits needed. Advise and collaborate with recruitment, marketing and communication managers on matters related to enrollment communication processes and the impact on the student enrollment experience. Mentor colleagues in implementation of communication initiatives within program admission cycles using developed resources and evidence based practices.
20% Student Services Administrator for Assigned Divisions:
Primary responsibility includes advising students regarding course requirements, university and college policies, work study opportunities, student health issues, compliance with university-mandated training, program degree requirements, financial aid, and student holds. Additionally, collaborates with Division Directors and faculty to determine required and elective courses, class schedules and textbooks. Ensures faculty course schedules do not conflict. In conjunction with Division faculty, plans class schedules each semester and determines which courses are to be activated and registers students. Analyzes and prepares student data and generates statistical reports as requested by program. Monitors and audits student records. Facilitates transcript grade audits to ensure all students are achieving the required GPA to maintain enrollment.
20% Admissions Manager for Assigned Divisions:
Counsels prospective students for assigned programs and advises prospective students regarding general program requirements. Analyzes and prepares data on all applicants to provide final review list for admissions committee. Establishes communication with applicants via email and phone to provide information on interview days. Collaborates with divisions to select on campus and/or virtual interview days and prepares notification letters to be sent to all applicants. Autonomously creates agendas, schedules for interviews and establishes workflow of the interview days. Initiates all communication with applicants regarding final decisions. Analyzes and prepares admissions data for use in program reporting.
15% Non-traditional admissions and enrollment specialist, advanced admissions committee membership & specialized communications:
Specializes in the enrollment of non-traditional student types (part-time, international, hybrid, remote & non-degree seeking) requiring the knowledge and implementation of unique processes and the collaboration with additional liaisons. Oversees International ECS Master’s degree program admissions processes. Guides students through the Health Insurance Compliance process unique to each student depending on student type. Provides resources to web-based international students equitably is a considerable challenge. Overseas multiphased orientation for hybrid, web-based GENEC Master’s degree program. Plans the logistics and implements hooding to incorporate the virtual involvement of web-based international students into a ceremony with residential students participating in person. Offers orientation content specific to students that will be 100% online for the total or partial duration of their enrollment, in collaboration with a variety of MUSC departments to demonstrate how the unique needs of these students will be met. Facilitates international diploma delivery and resources needed for educational verification. Involved in time-sensitive, high-level data and records requirement management. Works with MUSC Registrar liaisons to maintain accurate student records in the universities official SIS. Submits unique annual and semester data requirements to the MUSC re Course Activation Data & Student Registration Requests to the MUSC Registrar’s Office each semester taking into consideration the complex nature and impacts to unique student types. All by established deadlines. Acting member of the admissions committee and serves as interviewer for GC, CVP & AFN interview days. Manages scoring rubric in RedCap for CVP for interview evaluation. Lead, liaison and trainer for new Genetic Counseling Match System including additional deadlines and coordination with third party to draw correct students. Independently prepares official admission notification letters. Updates each program’s admissions liaison in OEM to document status details in the college’s official admissions records. Collaborates with additional admissions specialists with unique processes, as needed. Serves as a panelist on virtual information sessions throughout the year to promote academic programs and present on the admissions process. Manually creates and maintains accurate OneDrive cohort groups for email communications and shared file access. Maintains student engagement cross-training skills to provide continuous support to student enrollment. Serves as backup for scholarship and student organization management. Designated liaison for Ourday EEL system for student training. Works with students and technical support for annual compliance and troubleshoots issues for all in Student Services. Reviews annually for current students and during each new program start term. Specialized training in university communication system, Staffbase. Regularly serves on Department Faculty Search Committees.
15% Student Life Coordinator for Assigned Divisions:
Manages and organizes all program events as applicable including but not limited to graduation, hooding, pinning, honor society, dissertation defense presentations, new student orientations, and other ceremonies or special events. Independently plans these events and collaborates with Division Directors to ensure events are well organized and provides a positive experience for students and guests. Facilitates degree audits on all graduating students to ensure all requirements have been met prior to graduation. Resolves any errors or conflicts with students’ records to ensure each student can participate in ceremonies and receive diplomas.
5% Oversees training of faculty prior to admissions cycle to ensure they can successfully begin file review:
Analyzes admissions criteria and data from Colleague to determine which applicants are eligible for review and consideration. Evaluates final spreadsheet and sets criteria to determine placement of applicants into tiers for final file review. Collaborates with the Admissions Chair to ensure all applicants are receiving an equitable review. Performs routine audits on all completed applicants to verify prerequisite course completion. Assigns faculty to each applicant for file review. Assists the Admissions Committee. Advises applicants who have questions regarding their application and works to resolve any conflicts to ensure each application is successfully reviewed.
5% Communications Coordinator for Assigned Divisions:
In collaboration with Division Directors, prepares, writes, edits and establishes Division publications, new student information for website, and creates and maintains all applicable class D2L Brightspace pages for students. In collaboration with Division Directors, drafts/edits Division letters, student manuals/handbooks, student calendars and entries in the MUSC Bulletin.
