The Administrative Coordinator I reports directly to the Nephrology Division Administrator and provides support for day-to-day operations. Under general supervision performs a variety of routine administrative support to the division and coordinates general and clinical activities. Job Description
Job Duties:
35% - Clinical Administrative Support:
Responsible for managing clinic cancellations, template changes, and clinic schedules for assigned providers (Physicians, APPs, Fellows).
Provides support to faculty who oversees e-consult service. Work with these faculty members on identifying and communicating with patients who are eligible for this service.
Submits paperwork for clinic openings/cancellations and processes paperwork for PATH forms for provider templates.
Provide clinical office support for physician, APP and fellow scheduling and patient coordination including MUSC Health Telehealth sites.
Assist the division with all Epic needs and Epic administrative tasks including Nephrology Administrators Epic In-basket.
Communicates with other departments and external practices as needed for referrals and works to get sooner appointment requests handled timely.
Assist patients with access MUSC Mychart for patient and provider communication and follows policies pertaining to electronic medical records and patient communications between staff and faculty.
Responsible for contacting new and return patients for appointment reminders for any urgent add-on clinics or schedule changes (typically under 30 days). Reschedules patients cancelled under 30 days.
30% - Clinical Operations Responsibilities:
Proficient in Epic, scheduling, clinic cancelations and templates and serves as a resource to the Division, Ambulatory Clinics and PAC (Patient Access Center).
Reviews prospectively assigned providers’ schedules to ensure patients are appropriately scheduled.
Partners with Ambulatory Clinical care team members and PAC team to adjust appointments as necessary to ensure patients are scheduled with the appropriate provider and clinic.
Coordinates with administrative team and clinical leadership to improve clinic access and monitor clinic scheduled density.
Liaison with patients and scheduling to address sensitive and complex issues.
30% - Divisional Administrative Support:
Perform general office tasks including but not limited to answering the phones and directing calls as appropriate, typing, filing, scanning, copying and routing correspondences.
Manage medical records and information needing to be input and routed through EPIC.
Provide administrative support to assigned faculty.
Serve backup for RightFax, Simon Paging and Amion schedule for divisional providers.
Assists with Divisional calendar and making updates as needed.
Maintain divisional mailbox including retrieving mail from mailroom, updating faculty, fellows and APPs mailboxes.
Assist Outreach manager during Outreach events scheduled in the community including planning events/meetings, gathering supplies, being a liaison with NKF and PKD foundation
5% - Other Duties as assigned
Preferred Experience & Additional Skills: Strong knowledge of Microsoft Office. Experience with Epic. Proven track record of being detail oriented with a high level of accuracy. Ability to exercise judgment and discretion. Ability to communicate clearly and effectively, both written and verbally.
