The Clerkship Coordinator partners with the Clerkship Director in the Department of Medicine by managing and coordinating medical student clerkship programs across multiple campuses. This role oversees course logistics, scheduling, and compliance with accreditation requirements, ensuring a seamless learning experience for junior and senior medical students. The coordinator is responsible for maintaining evaluation systems, processing grades, organizing didactic sessions, and serving as a liaison between students, faculty, and administrative departments. Additionally, the role includes providing residency application support, managing visiting student programs, and maintaining student resources. The position requires exceptional organizational skills, attention to detail, and the ability to communicate effectively across diverse teams and stakeholders to meet academic and institutional standards.Entity

Job Description
Job Duties:
35% - Clinical Student Coordination
Course Logistics: Manage Jr. and Sr. rotations, including orientations and syllabi for Charleston, AnMed, and Florence campuses.
Scheduling: Collaborate with stakeholders to schedule students for rotations, direct observation, ACLS training, Simulation Center, Point of Care Ultrasound (POCUS) workshops, and call schedules.
Documentation: Oversee LCME compliance for syllabi, procedure and diagnosis logs, and evaluations.
Resource Management: Distribute and maintain books, equipment, and forms for clerkship activities.
Professor Rounds: Organize, schedule and grade sessions, manage materials, and track student attendance and participation.
Brightspace Management: Oversee quizzes, handouts, and course content updates.
35% - Evaluation Management & Grading Coordination
30% - Program and Activity Support
Letters of Recommendation: Prepare Chairman’s and Core Directors’ letters, compile supporting documents, and ensure timely submission.
Meetings and Compliance: Represent the department in meetings, manage Dean’s Letter MSPE comments, and adhere to grading policy timelines.
Evidence-Based Medicine: Schedule activities and manage grades.
Internal Repository: Maintain a student resource website with updated rotation and policy information.
Visiting Clerkships: Coordinate visiting student applications, schedules, and related logistics.
Communication Hub: Act as a liaison between the Department of Medicine, other colleges, and departments and comply with all deadlines established by the College of Medicine Dean’s Office.
Other duties as assigned by the Clerkship Director.
Preferred Qualifications:
Previous experience working with medical students, residency programs, or physician services is a plus.
Candidates must have Advanced skills in Microsoft Office programs, particularly Word, PowerPoint, Outlook, TEAMS and Excel. Experience using Medhub or similar evaluation system, Brightspace or similar learning management system.
Must be detail oriented and highly organized to complete projects for successful outcome.
Ability to maintain confidentiality of all academic records and ensure this confidentiality even when communicating with students, faculty, and administration.
Excellent communication, presentation, and interpersonal skills, with the ability to convey value to both students and faculty members.
Must be well-organized, detail-oriented and able to handle complex projects
Ability to work independently with little direction to complete work and meet established deadlines in an accurate and timely manner, and to manage short and competing deadlines.
